Why you shouldn't post the freebie link in the comments anymore

The typical reaction of many creators to lead magnet comments looks like this: social media manager opens the inbox, replies with "Here is the link: deincoaching.de/pdf" directly under the comment, and hopes the fan actually clicks. This setup is broken for three reasons:

  1. You are giving away your email list. The biggest business asset for any coach is the email list, not the follower count. The complete lead magnet DM flow: What we're building today

We're building a flow that does exactly what is now standard on every good coach account in the US and UK: a fan comments "GUIDE" under your post → seconds later a personal DM with the download button for the freebie lands in their Instagram inbox → optionally a friendly request for their email address → 2 days later a follow-up offering the next value step. All without a single manual reply.

The flow consists of five components:

  1. Comment Trigger, comment detection with keyword (e.g. GUIDE, PDF, FREEBIE)
  2. Send Private Message, personal DM greeting with the {{contact.username}} variable
  3. Send Link, download button with click tracking to the hosted PDF
  4. Collect Email, optional: collect email address and send it to the CRM via webhook
  5. Time Delay + Follow-up, wait 2 days and then offer an appropriate next step (call, mini-course, group)

Module 1: Configure the comment-to-DM trigger

In the replient.ai flow builder you choose the trigger post_comments, in the interface it is called "Someone comments on your post" (comment on post). This trigger has three scope modes:

  • Any post, the trigger monitors all posts on your account (useful for global freebies like a generic onboarding guide)
  • Specific post, you choose exactly one or several posts (useful for a single freebie tied to one piece of content)
  • Caption contains, the trigger fires on all posts whose caption contains a specific text (useful when you regularly publish new posts about the same lead magnet)

For lead-magnet flows I almost always recommend Specific post. Why: coaches usually want a different funnel per post, one post points to the nutrition guide, the second to the meditation mini-course, the third to the live workshop. If you choose "Any post", the flow will also trigger on posts where the freebie does not fit, and the DMs will feel ripped out of context.

In the Comment text contains field you enter your keyword, and that is the second important point: matching in replient.ai is case-insensitive and partial, technically implemented via a .includes() check on the normalized comment text. If you set GUIDE as a keyword, the flow will also trigger on "please send me the guide", "GUIDE please 🙏" or "guide10". You can set multiple keywords in an OR logic, for example GUIDE, PDF, FREEBIE, DOWNLOAD in parallel.

Tip from 200+ coach onboardings: Include not only the official keyword, but also all typical typos and alternative wordings in your matching. Fans type on their phones and write how they think, "GIDE", "Guid", "Pdf", "Ebook", "pls send", "want the guide" are common. That sounds trivial, but it is the difference between "standard automation" and a "personally sent message". According to the Salesforce State of the Connected Customer study, customers across industries expect personalized interactions and penalize impersonal mass communication measurably (Salesforce, 2024). The username in the greeting is the most cost-effective personalization lever you can have.

Block 3: Send link to the hosted PDF

Now comes the critical part, and here I want to clear up a misunderstanding I regularly hear in brand calls: Instagram currently does not allow sending a PDF file as an attachment directly in a DM. The Instagram Graph API supports only the media types image and video as attachments in DMs (Meta Developers, 2025). Tools like replient.ai that work via the official API can do exactly what the API allows, and nothing more.

The clean solution is therefore what all professional coach funnels worldwide do: you host your PDF once at a fixed location (Google Drive, Dropbox, AWS S3, or directly on your website) and send via DM a Send-Link-Step with a button that points to that URL. The fan taps, the browser opens, the PDF loads, done.

Practical configuration tips:

  • Keep button text short: Instagram limits button labels. "Download guide" gets many more clicks than "Here’s the link to your 10-page meditation freebie".
  • Turn on click tracking automatically: If click tracking is enabled for your brand, replient.ai automatically creates a short tracking URL from your link. Every click ends up in your automation statistics, and you see exactly how many of the DMs led to real downloads.
  • Host the PDF yourself, not just with a third party: From agency experience: a freebie on Google Drive works short term, but once a few hundred people access it, Google starts to throttle. Better: host the PDF directly on your own domain (yoursite.com/guides/my-freebie.pdf) or use a CDN service like Cloudflare R2 or AWS S3. It costs a few cents and will last forever.

Module 4: Collect Email, the real business boost

Now comes the step that turns a nice flow into a real lead funnel: Collect Email. In many ManyChat tutorials this step is completely missing, but it is the difference between "your fan has the PDF" and "you have a permanent lead in your CRM".

You drag a Collect Email step into the flow after the send-link step. The default placeholders in replient.ai show how the node is intended, the initial text in the builder reads in the original Please share your email to get the freebie. This is no accident: the tool is built specifically for this use case.

The logic of the step in detail:

  1. replient.ai sends the initial message asking for the email (you can customize it freely, e.g. "Hey, can I send the guide to you directly by email? That way you have it cleanly in your inbox outside of Instagram.").
  2. The fan types their email address as a reply in the DM.
  3. replient.ai validates the format (basic email regex) and replies either with a thank you or with a follow-up message ("That doesn't look like a valid email, please try again.").
  4. After a configurable number of attempts (default 3) the flow aborts and sets a tag, so you can follow up manually later.
  5. On success: the email is optionally sent to your Webhook, the endpoint that creates your CRM entry in Zapier/Make/n8n.

Important for your legal department: the user provides their email actively and voluntarily in the DM, after they previously posted a comment with a clear keyword. This is a clean opt-in according to Art. 6(1)(a) GDPR (consent), however you should, as with any lead magnet, transparently state the purpose ("Newsletter", "One-time email with PDF", "Funnel sequence") in the initial message so the consent is informed.

Module 5: Time Delay + Follow-up (conversion lever)

Many coaches let the flow end after the Send Link step. That is an expensive mistake. You just collected a warm lead, the next logical step is to proactively offer them the next value tier after 1 to 2 days. Exactly for that there is the Time Delay step: you drag it under the Collect Email step and set it to 48 hours. After that comes a second Send Message step:

Why this works: The fan actively commented 48 hours ago, received the freebie and (ideally) gave their email. The intent is there. But in between there are 200 other DMs, 40 new stories, a weekend, your guide has disappeared to the bottom of the inbox. A single follow-up brings this lead back to the top of the inbox, and the open question about a call is not a hard sell, but the logical continuation of the customer journey.

Optional flow extensions for advanced users

If you want to run the flow more professionally, you can add several more nodes in replient.ai:

  • Add Conversation Tag sets a tag like lead-magnet-guide-2026 on this DM conversation. Later you'll find all fans who received this specific freebie in the inbox filter, and you can send them a follow-up campaign, or match them as a warm audience on Meta Ads.
  • Ask Question asks the fan a multiple-choice question with buttons, before the lead magnet is delivered ("What's your situation right now? 1) Beginner 2) Advanced 3) Scaling"). The answer triggers a branch, and depending on the choice the fan receives a different freebie or a different follow-up sequence. Perfect segmentation from the very first second.

Flow variants for coaches, consultants and agencies

Once the base flow is running, you'll quickly notice you want to vary it for different lead magnet types. Three variants from our practice that have proven effective:

Variant A: Segmentation via Ask-Question: You add an Ask Question step directly after the first DM ("To send you the right guide: Where are you at right now?" with three button options). Depending on the answer the flow sends a different PDF (Beginner, Advanced, Scaling) and sets a different conversation tag. Perfect segmentation you would otherwise need weeks to build in your CRM.

Yes, if you keep two things clean: First, you use a tool that works via the official Instagram Graph API (not a browser bot), this is explicitly allowed and even encouraged by Meta. Second, at the Collect-Email-Step you obtain a transparent opt-in: the fan knows what their email will be used for. This corresponds to Art. 6(1)(a) GDPR. Browser bots, on the other hand, are not legal under Meta platform terms and regularly lead to account suspensions.

Can replient.ai send a PDF directly as a file via DM?

No, and that is not a limitation of the tool, but of the Instagram Graph API. Meta currently only allows image and video as file attachments in automated DMs. For PDFs, Excel sheets, or ZIP files the standard worldwide approach is: host the file yourself (own domain, S3, Cloudflare R2, Dropbox public link) and send a Send-Link-Step with a download button. Is an Instagram DM automation free?
